Membership Form & Volunteer Bond


Please Note:

Before you are able continue to the membership form, you must read and agree to the terms and conditions set forth in this volunteer bond.

Vancouver Island Karting Association has a $200.00 volunteer bond to encourage members to help with the many tasks required to host both practice and race day events as well as other duties and/or events throughout the season.

Objective:

The objective of this program is to promote engagement with the club and create members who work to see their club prosper.  The bonds help create revenue for the club, as the club now pays for volunteer positions not being filled directly by club members. There are many positions that the club pays for to host a race event and without these positions being filled we the members, simply do not race. Below is a table that shows many of the tasks required for both practice and race day events and the allocated hours for each position which will be go towards paying off your bond. Please note: your volunteer hours are not prorated; you must accumulate a minimum of 8 hours to have your bond requirement paid in full and this must be completed by the end of the double header weekend in September. For example, if you have only accumulated 5 hours of volunteer time throughout the season the club does not recognize this as partial payment towards your bond but rather you are stepping up to help your club. You “must” complete a total of 8 hours volunteer time to pay off the $200.00 bond. There are many positions you can sign up for prior to practice and race day that do not require a full 8-hour day. Please feel free to sign up for these position’s multiple times throughout the course of the season until you’ve reached your 8-hour requirement. There are also full day positions that can pay off your bond in full. Also, please feel free to help your club even if you’ve paid off your bond the extra help is always welcomed. The club understands that racing families are already busy on practice and race days, therefore, a family membership only requires the same amount of volunteer hours as a single membership to pay off your bond.

Sign up:

Anyone wanting to sign up for one of the posted positions below, please use the online sign-up through the club web site or Facebook page so we can keep track of everyone’s hours during the season. If you have signed up for a posted position, please locate the volunteer coordinator, or a member of executive, who will find the volunteer coordinator, to sign you in and assign tasks depending on what you have signed up for. We usually meet at our storage container located across the parking lot from the main building, next to the garbage bins. Key positions such as race director, assistant race director, scoring, registration and post race tech requiring training before you can sign up for these positions. The volunteer coordinator has the duty to make sure positions are filled by members capable of doing so. During the season the club will have other on going and pop-up volunteer positions that will need to be filled. For example: Volunteer coordinator, new member liaison, marketing, work parties on equipment and barriers, parade set up and take down, banquet dinner, etc. These pop-up positions will be posted on the clubs Website and Facebook page.

Payment:  

On the membership form you will have the option to pay your bond in full if you feel that you will not be able to fulfill your bond requirement through the volunteer program. If you choose to volunteer during the season and meet your 8-hours of required time your bond will be considered paid in full. However, if you do not pay the bond amount at time of signing up for membership and do not fulfill the 8-hour bond requirement your credit card will be charged $200.00 on September 14th. When you sign up for the first race at motorsportreg.com your credit card is securely kept on file for future race registration and bond payment. If you chose not to volunteer, you also have the option to pay your bond at any time throughout the season but before the double header in September. If you pay your bond in full and decide to fulfill the volunteer requirement throughout the season you will be credited back $200.00.  If you really enjoy helping the club and meet your 8-hour bond requirement and then accumulate another 8 hours you may apply this to another member’s bond, if you choose. The club does not refund additional volunteer hours outside the required bond amount but welcomes the additional help.  For all non-racing members, the volunteer bond does not apply.
